Our Dunn Avenue location is a dynamic hub offering early childhood education, pediatric therapy (OT/PT/ST), and ABA services for children and families. We provide early learning programs for children ages 6 weeks to 5 years, Voluntary Prekindergarten (VPK), therapy services that support developmental milestones, and individualized ABA services for children with autism.
The Front Desk & Scheduling Specialist plays a key role as the first point of contact for families, delivering friendly customer service and administrative support. This position guides families through check-in and scheduling, manages EHR documentation, and coordinates therapy appointments to ensure smooth, efficient operations.

A Snapshot of What You’ll Do
• Welcome clients and manage front desk check-in, ensuring accurate EHR documentation
• Answer and route incoming calls professionally
• Schedule therapy evaluations and ongoing appointments across OT/PT/ST services
• Coordinate schedule changes, cancellations, and makeup sessions
• Communicate with families, therapists, and staff regarding appointments and updates
• Monitor attendance, follow up on no-shows, and reinforce attendance policies
• Maintain accurate client records, demographics, and schedules in the EHR system
• Process co-pays, confirm appointments, and notify clinicians of arrivals
• Assist with discharge coordination and documentation
• Support daily office operations, including opening/closing and maintaining a clean, safe environment
• Provide backup administrative and medical records support as needed
Qualifications:
• High School diploma or equivalent (required)
• Customer service and scheduling experience (preferred)
• At least one year of office or administrative experience (preferred)
• Outstanding interpersonal and customer service skills
• Strong phone and communication skills (verbal and written)
• Excellent organizational skills and ability to prioritize tasks
• Positive attitude and commitment to working with individuals with disabilities
• Ability to maintain confidentiality and professionalism at all times
• Demonstrates flexibility, teamwork, and a collaborative mindset
• High level of integrity, discretion, and sound judgment
• Valid Florida driver’s license and proof of current automobile insurance
