Salary and benefits:
• Salary Range $60,000 - $70,000, overtime eligible, and pay is commensurate with experience

POSITION OVERVIEW:
The Executive Assistant reports directly to the Senior Director of Operations and Programs and also supports the Chief Executive Officer. This position provides administrative support to the executive office and front office activities with a dedication to best-in-class customer service. This includes providing daily administrative support to both leaders, including calendar management, meeting management, entering data, running reports, and serving as a professional and welcoming point of contact for OWR’s guests, visitors, staff, contractors, and vendors. This position also supports front office activities, including receiving and sorting mail, supplies, purchasing requests, filing, records management, and running local errands as needed. This role will also enter data into the Salesforce system and run reports with guidance and direction from the leaders. Finally, this position serves to support and coordinate several communication and social media efforts, including OWR's social media presence and helping with the publication of newsletters. Special projects may be assigned by either leader. A successful candidate becomes familiar with OWR’s systems, programs, and operations; responsibilities may expand to include additional coordination of projects and organizational initiatives.
Primary Responsibilities
• Provide daily administrative support to both leaders with specific attention to calendars, scheduling, mail, data entry, and reporting.
• Ensure best-in-class customer service for the organization, in person, by phone, and through email.
• Support the communications needs of both leaders by drafting correspondence for review and approval, including donor communication, solicitation letters, thank-you letters, and other written materials.
• Assist with producing a broad array of promotional, marketing, press release, and communication materials for the organization across print, digital, website, and social media platforms.
• Coordinate the purchase of office supplies and furniture, office equipment, etc., for the staff in accordance with OWR’s purchasing policies and budgetary restrictions. Maintains inventories for supplies.
• Coordinate contractor and vendors, as needed, while being available to greet and organize their work upon arrival. This includes gathering quotes and scheduling vendors such as cleaners, landscapers and other property maintenance needs as they arise.
• Provide administrative support for retreats and other events by organizing the logistics, including preparing materials, assisting with invitations, tracking attendance, coordinating venues, food, beverage, and supporting check-in and check-out processes.
• Be available and ready to help with building and facility issues that arise.
• Respond to all inquiries in a positive and timely manner.
• Assist with special projects and perform other duties as assigned.
Qualifications
• Passion for OWR’s mission, vision, and values.
• 5-7 years of administrative assistant and office management experience.
• High School diploma or equivalent required; some college or an associate's or bachelor’s degree preferred.
• 3+ years providing customer service, and able to effectively interact with a diverse community of contacts.
• “Lived experience” as a veteran or the spouse of a veteran is preferred.
• Ability to handle confidential and sensitive information with diplomacy and discretion
• Highly organized and detail-oriented.
• Strong interpersonal skills and ability to remain calm and pleasant under pressure while dealing effectively with interruptions.
• Someone who thrives as a part of a small and hard-working team and is willing to roll up their sleeves and take initiative as needed.
• Proficient with data entry and CRM systems as applicable (Salesforce is a plus), and Microsoft Office Suite, Google Workspace, Canva, Slack, AI tools, and social media platforms.
• Strong and professional written and verbal communication skills.
• Available to work weekends and evenings, as occasionally needed.
